Synergon AI is operated by Synergon AI Private Limited("Synergon", "we", "our", "us"), an AI-powered lead generation and workflow automation platform designed for businesses. We are committed to protecting your privacy and ensuring the security of your data.

This Privacy Policy explains how we collect, use, store, and protect data when you use:

  • Synergon Suite (Agent Core, Omnidesk, RevPulse, Analytics)
  • Synergon AI lead generation chatbot and agents

1. Roles and Responsibilities

To understand our privacy practices, it is important to distinguish between our roles as a Data Processor and a Data Controller:

  • Data Processor: When you provide your own data or collect data from your visitors via our platform (e.g., lead data via chatbots), Synergon acts as a Data Processor. The business customer is the Data Controller.
  • Data Controller: When we collect information directly from you for account management, marketing, or website analytics, Synergon acts as the Data Controller.

2. Information We Collect

A. Direct Interactions

We collect information when you create an account, request a demo, or contact us:

  • Identity Data: Name, job title, and company name.
  • Contact Data: Email address and phone number.
  • Transaction Data: Billing details and subscription information.

B. Lead Data (Processed on behalf of Clients)

When businesses deploy Synergon agents, we process data from their end-users:

  • Visitor contact details (Email, Phone, Name).
  • Chat conversation history and transcripts.
  • Contextual data (IP address, UTM parameters, Referrer URL).
  • User intent and classification data generated by AI.

C. Data from Meta's Platforms

When you connect WhatsApp or Instagram to Synergon, we receive data from Meta to deliver, receive and report on messages on your behalf:

  • WhatsApp Business Account details and business phone numbers.
  • Message content, delivery status and read events.
  • Customer profile names as provided by the messaging platform.
  • For connections made through Meta's guided setup (Embedded Signup), the Facebook user ID of the person who authorised the connection.

We use this data only to operate the messaging channels you have connected. It is retained under the periods set out in our Data Retention Policy, and deleted on request as described on our Data Deletion page.


3. How We Use Information

We process data based on the following legal grounds:

  • Performance of a Contract: To provide the services you subscribed to.
  • Legitimate Interests: To improve our AI models, ensure platform security, and provide analytics.
  • Consent: Where you have explicitly opted in (e.g., marketing).
  • Legal Compliance: To meet regulatory and legal obligations.

4. AI Processing and Data Usage

Our platform utilizes advanced AI models to process information. We adhere to the following principles:

  • Data Isolation: Customer data is strictly isolated. We do not leak data across different tenants.
  • No Public Model Training: We do not use your proprietary business data or your leads' personal data to train public AI models (like OpenAI's base models).
  • Intent-Based Processing: AI is used to classify leads, summarize data, and facilitate automated workflows.

5. Data Shares and Third Parties

We do not sell your personal data. We only share data with:

  • Sub-processors: Cloud infrastructure providers (AWS/Vercel) and AI model providers (under strict DPAs).
  • Integrations: CRM systems or third-party tools that you explicitly connect to your account.
  • Legal Requirements: When required by law to protect our rights or comply with legal processes.

6. International Data Transfers

As a global at-scale platform, your data may be processed in different regions. We ensure that such transfers are protected by appropriate safeguards, including Standard Contractual Clauses (SCCs).


7. Your Privacy Rights

Depending on your location (GDPR, CCPA, etc.), you may have the following rights:

  • Right to access and portability.
  • Right to rectification (correction).
  • Right to erasure ("Right to be forgotten").
  • Right to object to or restrict processing.

If you are a lead who interacted with a Synergon-powered chatbot, the business you contacted is the Data Controller and reaching them directly is the fastest route. If you cannot reach them, or their account is closed, contact us and we will act on your request directly.
